Event Cancellation | Attendance Policy

Rationale

This policy helps ISPA reduce costs by:

  • Ensuring a more accurate estimate of anticipated attendance for each event. Final attendance guarantees are required five to seven days prior to an event to ensure adequate food, beverages, and seating accommodations. Once the guarantee deadline has passed, attendance numbers cannot be reduced, and the association is financially responsible for all confirmed attendees, regardless of actual attendance.

  • Reducing the significant amount of staff and volunteer time required to track registrations, process cancellations and refunds, and collect outstanding balances related to no-shows and unpaid registration fees.

Cancellation / Attendance Policy

Event registrations may be canceled in writing via email or USPS mail up to three (3) business days prior to the first day of the event, unless otherwise stated on the event registration form.

Written cancellations received before the cancellation deadline will result in a full refund to the registrant. Cancellations received fewer than three (3) business days prior to the first day of the event will result in forfeiture of the full registration fee. Phone cancellations will not be accepted.

No refunds will be issued for unattended functions or for cancellations received after the deadline. No-shows and/or non-payment do not constitute cancellation.

All outstanding balances from previous events must be paid in full before registration for a current event can be confirmed. Payment must accompany registration or be received and verified at least five (5) days prior to the event to qualify as a confirmed registration.

In other words, registration for an event is not considered confirmed until payment has been received and verified.
